Answer Google reviews in 5 minutes a day

Short answer: Set aside five minutes a day to reply to new Google reviews. Keep three lines describing your voice, paste them with the review into an AI assistant, and ask for a short, specific reply. Read every draft, fix anything untrue, then post it. For 1- or 2-star reviews, also contact the customer privately.

Best for
Any owner with a Google Business Profile

Updated · By the Main Street AI Brief team · Facts checked against the sources below.

A simple daily routine and a copy-paste prompt to reply to every Google review, good or bad, in your own voice, without sounding canned.

All businessesSaves: most of the writing time per reply (rough estimate)

Who it's for

Any owner with a Google Business Profile who reads reviews but rarely replies, or who dreads the angry ones. Works the same for restaurants, shops, contractors, salons and offices.

The situation today

  • Reviews pile up because replying feels like a chore you'll do later, and the angry ones are hard to answer calmly in the moment.
  • When owners do reply, it's often the same two sentences every time, which reads as canned to the next customer scrolling through.
  • Rough estimate: 3 to 10 minutes per thoughtful reply when you write from scratch, longer for a bad review you need to sleep on.

Time figures marked "rough estimate" are our estimates, not survey data.

The AI-assisted workflow

Step by step

  1. Write three lines about how you talk to customers (for example: first names, no exclamation marks, sign off with your first name). Save them in a note; you'll paste them every time.
  2. Once a day, open your Business Profile and select Read reviews. Copy any new review that needs a reply.
  3. Paste your three voice lines, the review and the prompt below into your AI assistant.
  4. Read the draft out loud. Fix anything that isn't true or that you wouldn't say at the counter, then paste it into Reply and post it.
  5. For a 1- or 2-star review, wait an hour, then also call or message the customer privately if you know who they are. The public reply is for the next reader; the fix happens offline.

Copy-paste prompt

You help me reply to Google reviews for my [type of business] in [town].
How I talk: [3 lines about your voice].
Review ([number] stars): "[paste review]"
What actually happened, if I know: [one or two facts, or 'unknown'].

Write a reply under 70 words.
- Thank them by first name if the review shows it.
- If it's positive, mention one specific thing they said, not a generic thank-you.
- If it's negative, acknowledge the problem without arguing, own any real mistake, and invite them to contact me at [phone or email] to make it right.
- Do not offer refunds, discounts or anything I haven't listed here.
- Do not invent details about the visit. If something is unclear, leave it out.
- No exclamation marks, no 'We value your feedback'.

Works in any AI chat assistant. Replace everything in [brackets].

Example output (illustrative, not real data)

Review (2 stars): "Waited 40 minutes past my appointment time and nobody told me why."

Draft reply: Hi Dana, you're right, and I'm sorry. We ran behind that afternoon and should have told you as soon as we knew. That's on us. I'd like to make it up to you; please call me at the shop at [number] and ask for Sam. Thank you for telling us. Sam, Example Auto Care

Watch-outs

  • Never let AI post replies automatically. Read every one; a confident reply with a wrong detail is worse than no reply.
  • Don't put customer details in a public reply (what they bought, health or money matters, where they live), even if they mentioned it.
  • Don't ask only happy customers for reviews. Google's policy prohibits selectively asking for positive reviews, and the FTC's rule on reviews (in effect since October 21, 2024) bans buying reviews, fake reviews, including AI-written ones, and suppressing negative ones with threats.

When not to use AI

  • Reviews that mention an injury, a legal threat, discrimination or a safety problem. Talk to your insurer or attorney before you reply publicly.
  • Writing reviews of your own business, or 'reviews' for customers to post. That's a fake review, whoever types it.

Quick answers

Should I reply to every Google review?

Reply to every review you can, especially the negative ones. Future customers read how you respond. Keep positive replies short and specific.

Is it OK to use AI to reply to reviews?

Yes, as a drafting help, if you read and edit every reply before posting and never invent details. Writing fake reviews with AI is illegal under the FTC's rule; replying to real ones is not.
