Cut no-shows with better reminders and a clear deposit policy

Short answer: Send a confirmation when clients book, a reminder about two days before and another the same day, and make rescheduling easy. Pair the reminders with a short cancellation policy, including a deposit or card on file if it fits your business, that clients see and agree to before they book. AI drafts the policy and messages.

Anyone who sells time in appointment slots

Write a friendly cancellation and deposit policy plus a reminder sequence with AI, so clients know the rules before they book and fewer forget.

Personal careSaves: fewer empty slots; check your own numbers after a month (rough estimate)

Who it's for

Salons, barbers, nail and lash techs, estheticians, massage therapists, personal trainers and anyone who sells time in appointment slots.

The situation today

  • A no-show is an hour you can't sell again. Most aren't rude; the client forgot or assumed it was fine to skip.
  • The policy, if there is one, lives in your head or in a long caption nobody reads, so enforcing it feels personal.
  • Rough estimate: even one missed appointment a week is about 50 empty slots a year. Your own booking history will show your real number.

Time figures marked "rough estimate" are our estimates, not survey data.

The AI-assisted workflow

Step by step

  1. Pull your last 3 months of no-shows and late cancellations from your booking app or calendar. That's your baseline.
  2. Decide your rules: how much notice you need to cancel, whether you take a deposit or card on file, and what happens after a no-show.
  3. Run the prompt below for a short policy and three messages: booking confirmation, a reminder about two days out, and a same-day reminder.
  4. Put the policy where clients agree to it: your booking page, the confirmation and a sign at the front desk. Load the reminders into your booking app.
  5. After a month, compare no-shows to your baseline and adjust.

Copy-paste prompt

I run a [salon/barbershop/studio]. Write my cancellation policy and appointment reminders.
My rules (use exactly):
- Cancel or reschedule at least [X hours] ahead
- Deposit / card on file: [amount or 'none'], and when it's charged: [rule]
- After a no-show: [what happens]
- How to reschedule: [link/phone]

Write:
1) A policy under 80 words: warm, plain, explains why (the time is held just for them), states the rules.
2) A booking confirmation text (under 40 words) that links to the policy.
3) A reminder text about 2 days before (under 35 words) with an easy way to reschedule.
4) A same-day reminder (under 25 words).
Rules: don't add fees or rules I didn't give. No guilt-tripping, no all caps.

Works in any AI chat assistant. Replace everything in [brackets].

Example output (illustrative, not real data)

Policy: When you book, we hold that time just for you. If you need to cancel or move your appointment, please let us know at least 24 hours ahead. We take a $20 deposit at booking, which goes toward your service. Missed appointments or changes with less than 24 hours' notice forfeit the deposit. Life happens; just reach out and we'll find you a new time.

2-day reminder: Hi Ana, see you Thursday at 2:00 at Example Studio. Need to move it? Reschedule here: [link]

Optional tool

Square Appointments

Booking software. Square lists automatic text and email appointment reminders on its free plan, and charging a card on file for late cancellations or no-shows on Plus.

Price: Square Free: $0/month per location (you pay card processing fees, e.g. 2.6% + 15¢ in person). Cancellation policy and no-show fees are listed on Square Plus at $49/month per location. (checked 2026-10-18 on the vendor's pricing page; prices change)

Skip it if: your booking app already sends reminders and takes deposits (many salon apps do). Load the policy and messages above into what you have.

Watch-outs

  • Clients must see and agree to your policy before they book, especially if you'll charge a card on file. Put it on the booking page, not just in a reminder.
  • Appointment reminders should go only to clients who gave you their number for that purpose, and stop when someone opts out. The FCC says people can opt out of texts at any time.
  • Don't put health details (why someone is getting a service) in reminders. Keep messages to time, place and a reschedule link.

When not to use AI

  • Arguing with a specific client about a fee. Handle that person-to-person, and keep it kind and brief.
